Welcome to your new contracts tab!
We’ve listened to your feedback over the past year and made a host of updates that will make it easier than ever to keep track of your insureds’ compliance statuses. This guide will walk you through the new and improved functionality. If you have any questions, or would like a walk-through of the new page, reach out to your account manager!
New Columns
The first thing you’ll notice is that we’ve added two new columns to your dashboard – Expiration Date and Non-Responsiveness.
EXPIRATION DATE
Expiration Date will display either the next expiration date on an insured’s certificate of insurance, or say ‘expired’ if all policies on the certificate have expired. This will include policies that are not required. This column makes it quick and easy to see why an insured is not compliant, without opening their coverage panel!
Along with the expiration date, we’ll also be tracking continued policies (i.e. new certificates uploaded prior to expiration). That way, if an insured’s certificate expires in 5 days, but they’ve already uploaded their renewal certificate, we’ll pull through the next expiration date on their new certificate so that you know you don’t have to worry about them!
NON-RESPONSIVENESS
Non-Responsiveness is a secondary stage, denoting when we have reached the end of our SLA and are no longer reaching out to the insured. For example, if an insured uploaded a noncompliant certificate of insurance, but didn’t respond to any of our attempts to help them fix the errors, they would show up as ‘Not Compliant’ and there would be a red dot in the Non-Responsive column.
Another scenario you may see is ‘Quoting / Non Responsive.’ This would indicate that a contractor reached out to Bunker for a quote, but never followed up to purchase the policy.
In the next few weeks, you’ll be able to export a list of all ‘non-responsive’ insureds, and easily send a templated email prompting them to come back to Bunker!
Sorting & Filtering
Select a column header to sort the list by that column. This allows you to easily tailor your view to what you’re looking for. For example, sorting by Expiration would allow you to seen which certificates are expiring soon, sorting by Company would allow you to group franchises with multiple locations together in one view, and sorting by Non-Responsiveness would give you a quick run down of the folks that need an extra nudge.
We’ve also added the ability to filter your list, dramatically improving efficiency for our larger members. You can filter by Requirements and Status, both of which are multi-select fields. That way, if you’re only in charge of three requirements, you can set the filters to show you those three, and then sort by expiration date to see which of your accounts are expiring next! You can also search by any of the fields within the dashboard.
Drop Down Views
While it was always possible for an insured to be tied to multiple requirements, this created two separate rows in the legacy dashboard. The new Contracts Page groups them by Email Address, creating a drop down option to view multiple statuses at once!
The drop down allows you to easily remove requirements, add requirements, and upload certificates on behalf of insureds. You’ll also notice that this is where the View Coverage Button lives, which opens your new Coverage Panel.
CUSTOM NOTE
You now have the ability to add custom notes to your contract records, which will be visible in your reporting. This is a great place to add in custom fields that you track in your CRM, like unique identifiers or custom tiers.
Create a New Contractor
To create a new contractor, select the plus at the bottom of your contracts page. You’ll be prompted to enter their contact information, as well as the requirement that they’re tied to.
When you add a contractor this way, they will show up as ‘imported,’ indicating that they have not taken any action on their own. At this point, you can either upload their certificate of insurance, or invite them to login to their new account via the Account Confirmation Page.
*They will have to use the same email that you used to create their account*
Bulk Actions
Updating your contracts is easier than ever with our multi-select actions. You’ll now be able to edit notes, change requirements, upload COIs, and delete contracts in bulk!
For example, let’s say you need to change one of your requirements to include a higher General Liability limit. You would simply create the new requirement, head to your contracts page, select everyone tied to the previous requirement, and click ‘Add Requirement.’ Then, you’ll be able to see whether or not the insureds’ current COIs meet the new requirement within 24 hours.
*We highly recommend having your account manager review any new requirements before sending or assigning them to contractors*
UPLOADING CERTIFICATES ON BEHALF OF AN INSURED
You can also use this view to upload a single certificate of insurance to multiple business records. For example, if you have a vendor with three unique locations that all share a certificate of insurance, you could simply select all three and upload it once.
The second way to upload on behalf of an insured is to open their contract drop down, select ‘upload certificate,’ and upload the file there.
These processes will be replacing the legacy form that you may have been using to upload certificates up to this point. Reach out to your account manager if you have any questions about the new process!
